How do I Build a Hotel Domain?
Domains are hotels; there is one domain per hotel, even if the hotel has several buildings. The domain for the Hotel will be added to your Portal for configuration.

- From the Domains page, click Add Domain.
- From the Domains page, click Add Domain (top right).
The "Add a Domain" Modal will launch.
Basic Tab

- Name: Enter the hotel's name without any spaces. For example, enter hiltoncalgary as the site name for the Hilton Garden Inn - Downtown Calgary.
- Description: Enter the full hotel name with spaces, commas, or dashes as needed (e.g., "Hilton Garden Inn—Calgary Downtown").
- Email Sender: noreply@phonesuite.com
- Record: No. If enabled, then call recording can be set on a per-user basis.
- Residential: No
- Status: Active
- Single Sign-On: Disabled
- Survey: Disabled
- Hotel Property Code: blank or enter property code
Defaults Tab

Dial Permission: US and Canada are recommended. This section specifies the dialling permissions for users in this domain. For example, you can permit all dialling with no restrictions, deny dialling, or limit dialling to international or US and Canada calls. This list may vary depending on your system setup.
Select the appropriate level of permission for this hotel. - Timezone: Whatever timezone the hotel is in.
- Area Code: The local area code for the hotel.
- Caller Name: Default outbound Caller ID sent to emergency services (i.e. "Hilton Garden Inn-Calgary Downtown")
- Caller ID: The Hotel's main number, numbers only (i.e. "4035431234").
- Randomize MOH: If set to "Yes," callers will hear a random music-on-hold sound file (only works if multiple MOH files are uploaded). The default is set to No.
- Enable Voicemail: Checked.
- Voicemail Transcription: If enabled, users will receive an email with the voicemail transcription. Disable if voicemails may contain sensitive information such as guest names, credit card numbers, or reservation numbers. (This service is an add-on feature with additional fees.)
- Message: Can be used to change the default voicemail greeting. Default Hello, {firstname} {lastname} is unavailable. Please leave a message.
- Voice: The default voice to use for the default voicemail greeting above.
- Preferred Service Location: Select the server location nearest the hotel. No preference is the default.
Limitations Tab
The number set as the call limit in both active & external allows X number of calls greater than or equal to the limit, meaning if the limit is set at 10 and ten calls co-occur, the limit will block the tenth call. We recommend allowing at least three calls per user to account for voicemail, call waiting, answer confirmation, etc. Setting either limit to "1" will always cause problems; even a call from User A to User B in the same domain requires a value greater than 1.

- Call Time Limit: Maximum duration of calls within the domain.
- Active Call Limit: Set Active Call Limit to the number of call paths.

External Call Limit: If the Hotel paid for individual external call paths, you would change this limitation. Example: The Hotel has 16 users but only wishes to share five call paths between them. You would want to set this to 5 to limit this. Your invoice will reflect the total call limit.
- On unlimited plans, leave this setting unlimited.
- Remember to adjust the limit accordingly for unsquared plans. A minimum of three is required.
- Max Users: The maximum number of Users allowed to be created on the Domain.
- Max Departments: Refers to the user's department (helpful for filters and contact lists). It can also be used to separate business units in different locations. It's best to leave this as unlimited.
- Max Sites: The maximum number of Sites allowed to be created on the Domain.
- Max Conference Bridges: This is a paid option for the Partner and the hotel. Although it is unnecessary, you may set the limit for internal billing or records purposes.
- Max Auto Attendants: All domains include three auto attendants at no charge. Limiting them on the domain level stops any Office Manager role permissions user from adding more without first contacting the Partner.
- Max Queue: Four call queues are provided. Additional call queues can be added, but they will incur additional fees.
Recording Tab

These should be the default settings. If you have been quoted additional hotel limits, check "Use Custom Limits for this Domain.”
All standard packages include the greater of 1 GB of call recording or 30 days of retention, whichever comes first, at no additional charge.
- Max Recording Size (GB): 1 GB for Default
- Max Retention Length (Day): 30 days for Default
Emergency Tab
- The settings and defaults in this tab are focused on emergency calling. In this domain, for any users who do not already have an emergency address selected, the Portal will now display the domain's new address as their default.
- Emergency address locations can be set for individual users, domains, sites, and devices. When more than one address has been defined, precedence cascades down from domain > site > user > device.
- Note that Emergency Addresses work with Emergency Endpoints; you cannot give an Emergency Address without an Emergency Endpoint (a number) to call.
- Create a domain-wide address that encompasses the whole organization at the geographical location. The domain address will apply to all users within this domain.

- Emergency Caller ID: Set the number (not name) used on emergency calls. This number is usually the same as the hotel's main number, but can be set as a specific emergency number. It should have e911 enabled and be set with the correct address.
- Address Name: Enter the Hotel's name.
- Caller Name: Enter the caller name that will default for the information sent to emergency services.
- Address Lines: Enter the complete street address for the emergency responder. This must be the hotel's physical address, not a P.O. Box or mailing address. This is the default address that the emergency responder will receive.
- Country Code: Select the country from the drop-down options.
- State/Province: Select the Province or State from the drop-down options.
- City: Enter the city for the physical office address.
- Zip Code: Enter the Postal or Zip codes for the physical office address.
- Location: Enter a description of the area within the building, such as the front desk.
- Validate. Click to validate a new address before saving. All fields must be filled out before validating.
Click the "Add" button to add the hotel domain.
