Editing an Email Template

Prerequisites:

You must have access to the partner portal and the Partner Tools Portal. Please contact the partner team to request access. When logged in to the partner portal, you can immediately see if you have access, as you will see the Partner Tools Menu Icon.

 

 

Editing an Email Template

 

Select View Assets from the Partner Tools menu to edit an Email Template. You will be presented with the assets screen. Select Emails.

The View Assets screen will load and be sorted by Emails.

  1. The View Assets Menu will display the entire Asset Library for Emails. 
  2. You can view templates that you have customized and saved in My Favorites.
  3. Select Recently Used to view templates that you have recently accessed.
  4. Select Recommended to view templates that we recommend.
  5. Search through the available options leveraging the search bar to search by subject.
  6. Please select the template you want to use by selecting the email icon.

The Send Email page loads with an embedded editor.  

Edit Your Email

If you want to reuse this email as a customized template, click "Save as Favourite" to save it to your favourites and retain your customization.

Use the Email Editor to make necessary changes to your email before sending it. This editor is ideal for quick edits and does not alter the original template. This is why we mentioned "Save as Favourite" if you want to retain your changes for future use.

Smart Objects will let you drag and drop different building blocks into the email that you are composing.

Drag an object where you'd like to place it.

  1. A yellow highlight will color the placement block.
  2. Click the ^ < v > arrows to place the Smart Object below, above, left or right of the yellow highlighted block.
  3. Click the "Recycle Icon" in the center to replace the highlighted block.

  1. Headers:  Inserts a banner, bold heading, Logo or Logo with text.   Click the settings icone to alter the parameters of the object.

 

 

 

 

 

 

 

 

  1. Basic Objects:  Inserts text,image,video,buttons, space, banners and HTML code.
  1. Advanced Objects:  Inserts more advanced objects like image and text formats in different column formats, paragraphs with a call to action button, and assets,

 

 

 

 

 

 

  1. Personal Signatures.  
  2. Company Signatures.
  3. Organizational Signatures. 
  4. Organizational/Company Signatures.

These sections are populated from the various profiles the information is drawn from a personal company or organizational level depending on what you have recorded in the related Profile.

 

Clicking on the email body brings up an expanded toolbar or advanced editing by clicking on a placed text block, then clicking on the "{}" icon on the toolbar.

This can be used to format text, insert symbols, change text coloring, and insert variables (hover over toolbar icon for descriptor)
 
<{}> Variables - the Variable Tool will generate coding for responsive text
 
  • User - pulls from that User's profile.
  • Company - pulls from the overall company profile.
  • Contact - pulls from the contact on the receiving end.

Once on the Send Email page, scroll down to the Editor and double-click on the button in the body of the email.  

The Call To Action Properties page loads.   Scroll down to the Button Links and Label section. Notice that Email Address is selected.  You have the option to send the recipient to an Email Address. Select the edit icon beside the mailto address and update the email address with the address that you would like to send the email to. 

Click Next when you are ready to proceed.

Note: Any email you test by clicking on the Test icon in the email editor will appear under the Sent Test Email folder on the Communicate > Email page.

Step 4: Finalize and Send Your Email

Under Send Email, complete the following fields:

  • From: Specify who the email should appear to be sent from.
    • From and Reply-To can be different users.
  • To: Choose your recipients by typing in the users' names and email addresses or selecting from your list.
    • You can combine individual email addresses with lists for broader outreach.
  • Reply To: Indicate who should receive replies to the email
  • Subject: Enter the subject line for your email

Choose when to send your email:

  1. Now: Send the email immediately upon completion
  2. Schedule for Later: Set a future date and time to send the email
  • Draft: Save the email to finish editing later
    • You can access drafts by navigating to the same area under Communicate and selecting the Draft tab in the top right-hand corner.
  • Schedule Resend: If needed, you can arrange to resend the email using this option

Click Finish to complete the process, whether sending the email now, scheduling it, or saving it as a draft.
