Setting up phones in UC Hospitality involves configuring your hotel domain, assigning extensions to rooms, and ensuring phones register properly with your Hosted PBX system. This guide walks you through the complete provisioning process so your hotel phones come online quickly and connect to your Property Management System (PMS). Step 1: Access Your Hotel Domain
Log into the UC Hospitality portal and navigate to your hotel domain. If you haven't created a domain yet, you'll need to build one first by selecting "Add Domain" and entering your hotel's basic information, including name, address, and timezone.
Step 2: Configure Room Extensions
In your hotel domain, go to the Users section. Each guest room needs a user account with an assigned extension:
- Click "Add User" for each room
- Enter the room number as the extension
- Set the user type to "Guest Room"
- Assign the appropriate dial plan and features
- Save each user configuration
You can bulk import room extensions using a CSV file if you're setting up multiple rooms at once.
Step 3: Provision the Phones
Once extensions are created, assign phones to rooms:
- Navigate to the Devices section in your domain
- Click "Add Device" and select your phone model
- Enter the phone's MAC address
- Link the device to the corresponding room extension
- Set the provisioning template for your phone model
- Save and apply the configuration
The phone should automatically download its configuration and register within a few minutes. If phones don't come online, verify the MAC address is correct and the device has network connectivity.
Step 4: Connect Your PMS Integration (Optional)
If you're using a supported Property Management System, configure the integration in the PMS Settings section:
- Select your PMS type from the supported systems list
- Enter connection details (IP address, port, credentials)
- For serial connections, configure your Serial Box settings
- Test the connection to verify communication
- Enable room status synchronization
This allows automatic check-in/check-out updates and billing integration.
What to Expect Next
After provisioning, phones typically register within 5 to 10 minutes. You'll see devices show as "Registered" in the Devices section. Test each phone by making internal calls between rooms and verifying PMS data synchronizes correctly. Any registration issues usually indicate network problems or incorrect MAC addresses.
